Processing of job applicants’ personal data 

Heka is the data controller

Heka acts as the data controller in accordance with data protection legislation when processing the personal data of you, the job applicant.

On what basis do we process your personal data?

When you apply for a job with us, we use the personal data you provide to process your job application.

In processing your application, we use an applicant profile, in which the information you provide in the job application is collected. The personal data in your applicant profile can also be used in other Heka recruitments.

The processing of your personal data is based on the consent you give in the application form.

Your personal data can be used as a basis for automated decision-making. An individual requirement profile has been created for each vacancy. The answers you provide in the application form are automatically compared to the requirement profile.

We use occupational psychology tests in the recruitment process if necessary.

Personal data collected on you during recruitment

During recruitment, personal data that you provide in your job application or its attachments will be collected on you. Your personal data is stored in the ReachMee recruitment system used by Heka.

During recruitment, we process the following personal data:

• your name
• your contact information (email address, phone number and address)
• your answers to the questions on the application form
• your CV
• your personal application letter
• any other attachments (e.g. certificates)
• any answers to occupational psychology tests    

Disclosure of your personal data

We will not disclose the personal data you provide during recruitment to third parties.

In the ReachMee recruitment system, your personal data is collected on Heka’s behalf and in accordance with Heka’s instructions.     

International data transfers

We will not process your personal information outside the European Union or the European Economic Area.

Retention of your personal data

We will only retain your personal information for as long as it is necessary.

We will archive your personal data from the recruitment system database two years after the end of the recruitment.

Your data protection rights

You have the right to access your personal data. You may correct and update your personal data in your applicant profile.

You have the right to request the rectification of your personal data or object to the processing of your personal data within the limits of data protection legislation, but please note that much of the personal data is necessary for the recruitment process. You have the right to be forgotten, but please note that after this your applicant profile and job application will no longer be valid and Heka will not be able to consider your job application.

Protection of your personal data

The personal data you provide can be accessed by employees of Heka’s HR department and the supervisors responsible for recruitment in Heka. All people who have access to your personal data are bound by the duty of confidentiality.

If you have a non-disclosure for personal safety reasons, please contact the contact person listed on the job posting.

Please also carefully consider what information you provide in your application. Only provide information that is relevant to the job in question.
